2 Constitution Rules update Charter Standard
- Progress towards the FA Club Standard has been good and a document setting this out was reviewed.
- A new constitution has been drafted. It was proposed that the constitution was adopted in practice until it can be ratified at an AGM.

3 Finance
- this year it is likely we will over spend by 1500 owing principally to outstanding subs and an overspend on equipment and kit
- from end of this season we’ll aim to recycle kit down the age groups
- cost for club and team levels of sponsorship. Need to establish these. No-one took an action.

4 C.W. C.R.B. update
- Good progress has been made although ten CRBs still need to be completed.
- Ideas on communicating and developing welfare are to be proposed shortly.
- Lots of volunteers to help with the younger age groups, which is very good news.

5 Club Development Win 2012
- Forthcoming events to be publicised shortly.
- JT to produce a paper setting out how we’ve developed and propose to develop as a club.

6 Social/ Fundraising
- quiz night: Bobbie has flyers and ticket application forms. These will also be published on the web site shortly
- parents’ email addresses to be sent by Chick to Damian so that we can begin automating some comms
- the Saints have donated as part of our relationship various high value items. Let’s auction these to club members only on the web site. (DS)

7 Rovers U18
- lesson is to ensure there is a there’s a team off the pitch supporting the team on the pitch

8 A.O.B.
- recent experience of the under 9s in the non-competitive development league for the younger age group has been very positive, with a very high standard of football being played.

Matters arising from last meeting 7/9/11
- none

Finance
- subscriptions have come in fairly smoothly this year, although there are several half payments outstanding
- expenses have been processed well although four managers have not yet claimed for any referee fees
- this year it is likely we will over spend by 1500
- irrespective of the above the club is solvent
- fines are nicely down on last year’s levels. Keep it up!

C.W. C.R.B. update
- in October 34 CRBs were outstanding. Now there are ten outstanding
- awareness of child welfare: information to be published on the web site in due course
- CRB is not optional

Social/ Fundrasing
- sizzling Saturdays: another to be run this coming Saturday
- quiz night: Bobbie has flyers and ticket application forms. These will also be published on the web site shortly
- parents’ email addresses to be sent by Chick to Damian so that we can begin automating some comms

Saints coaching
- very positive feedback from several managers
- some of the Saints coaches have rotated, which is not ideal for the younger age groups
- every other week is working well
- the club has some goalkeeping training sessions up its sleeve. More goalkeeping coaching earlier in next season would be good
- all comments and suggestions about Saints coaching to be sent to John D.

Respect update
- membership of the club is dependant on our all having signed up to the campaign
- managers are encouraged to remind players that they are signing up to the Respect campaign ahead of next season
- the policy of zero tolerance of breaches of the Respect code will be continued

Groundman’s report
- keep on filling in the holes when they reappear
- please be careful not to damage or unplug the line-marker in the shed
- options for six-a-side pitch to be explored
- parish council have signed a lease on the cage for another three years. Condition has been well maintained this season with help of parents

A.O.B.
- Pitch bookings: bookings spreadsheet to be published asap on the web site.

May I wish you all a Merry Christmas and a Happy New Year.

The Glory…congratulations to Bobbie, who was among the runners up for Volunteer of the Year at the Winchester Sports Awards recently. Well done too, to David Pollard whose long service to sport was similarly recognised. And (drum roll, please) to Jon Thompson, who collected an award for the Club’s support of Winchester 2012, through which we have committed to engage more volunteers (step forward, Tom – our new recruit helping out at the u10s) and to complete our Clubmark/FA Charter Status application, while supporting various Olympic related events around town.

The Spade Work…the only gaps in our eligibility for FA Charter Status are confirming each team has a level 1 coach attached to it, and that all managers and assistants are CRB checked. A number of helpers will be attending 1 day Age Appropriate training course in early 2012 (let us know if you have anyone else interested), and we are committed to supporting managers through the FA L1, the benefits of which are myriad in making you a better coach, ensuring teams receive best possible coaching, and that the Club offers consistent, qualified input to all teams. All managers and assistants need up to date CRB checks, which Karen (Club Welfare Officer) will be arranging. CRBs protect both the Club and its members – if you have not been checked, we cannot hire outside facilities, nor meet our insurance commitments and we may find leagues refuse to allow us to field teams. So, please help Karen as she works through applications, which are time consuming, but vital.

The Fun…we are holding our next Sizzling Saturday on Sat Dec 17th. Please publicise this among your team, parents, friends. This is a chance for us all to exchange ideas, share problems, resolve issues…and have a bit of an informal catch up. Plus, we raise money for the club. We’re keen for more new volunteers to help out (thank you Rosie, Rod, Tam and Emma last time) – the more people get involved, the more often we could hold them. And (last thing), please push the Quiz Night in March. Er, and good luck with the football…

thanks,

Jim

1. FA Level 1

We are looking to run an FA level 1 course, to allow those coaches/managers yet to qualify to do so, and to deepen the pool of coaching talent by enabling keen assistants/helpers to take the course too. If held at Littleton, it can be more flexible with regard to dates/timing (and we could open up the First Aid element of the course to interested parents, again broadening expertise across the Club). To help plan this, please let us know by Nov 19 (without obligation at this stage) whether you (as manager) need to go on the course, and if any of your helpers is keen to do so. (A requirement for Charter Status clubs is that each team has a Level 1 coach associated with it, but we’d like to encourage learning and improvement throughout the Club anyhow).

2. Pavilion – your say.

As part of the Winchester 2012 programme, there is the possibility of Lottery funding to leave behind Inspiring Buildings (for Sport), to which The Littleton Sports Club (umbrella organisation for bowls, cricket, croquet, tennis, veteran and junior football clubs) is looking to apply to improve the Pavilion. The first stage of this process is to seek users’ views as to how the Pavilion might be improved. So…please ask your parents and players, and let us have your thoughts/suggestions by the end of November.

3. bad weather

Now the dark, cold and wet weather is here (it feels like August again), there’s clearly the chance training/games may need to be called off. Just as a reminder, the process is that any cancellation of Saturday training/games will be made by 6pm on Friday evening, via an announcement on the webpage (ie, the banner will flash training OFF). Should conditions deteriorate overnight on a Friday, we’ll look to call off as early as possible on Saturday morning, again via the banner on the website. So, if in doubt, please check the website.

Many thanks (and enjoy the football).

Jim

1. Subs due end of November – (anticipated subs for next year; flat). NB – last year’s costs included around £2.5k for developing the Nursery pitch (which won;t recur). (Jim to confirm details to Chick)

2. Part of Winchester 2012 includes Inspiring Buildings – each member club to seek ideas on how to improve the Pavilion, with an emphasis on attracting 18-30 year olds into sport and leaving an Olympic legacy. Deadline for ideas is early December, when an intra club brainstorming session is to be held. Parish Council indicated they are supportive of the idea. (Jon T, Jim, John Druce)

3. FA Charter (and clubmark) status could mean supplementary funding is available to support the estimated £50-150k available in the above. (Jim, Jon T, John Druce)

4. LJFC end of season event; Sports Club supportive in principle. Key considerations are start of cricket season in early May; the Jubilee first weekend in June (when grounds will be holding a Royalist shindig of some sort); start of the bowls season in 3rd weekend of April. Other things to note were damage to outfield cricket club reported to Parish Council after the Littleton Show. One suggestion was to consider using the top 2 pitches for football / catering and use adult pitch for parking along with existing car parks. (Bobbie)

Process is to give more details to Sports Club who will notify Parish Council of the event.

That’s about it, except to repeat the praise Vivienne (tennis club) passed on to volunteers who left the Pavilion in such a clean state after the recent Sizzling Saturday.

Please publicize this among your players and parents and (as important) ask if there are any parents keen to help brew, cook or serve next weekend. Who knows, should enough volunteers step forward, we may be able to run these more frequently than the monthly sessions planned. And good luck this weekend.

Hi all. Please see the following note from Chick …

The system for claiming expenses appears to be working well but sometimes not all details are completed. Concern has also been raised on entering Bank details on the webpage. To this extent I have modified the expense form to include the bank details and I have protected the worksheet so that it works like a form by using the ‘tab’ key.

I would also like to clarify that expenses can be submitted as and when they arise but at the latest they should be submitted by 31 December 2011 and 31 March 2012.

Kind Regards, Chick

P.S. The expense claims form can be found in the managers’ resources section of the web site at http://littletonjuniorfc.org.uk/managers
